How to use the AI-powered meeting minutes feature
What this feature does: This tool connects your Zoom meeting recordings to AI-powered minute generation. Simply upload your Zoom transcript and the AI produces formal, structured meeting minutes — including a summary and action items — in seconds.
1. Hold your Zoom meeting
Conduct your committee meeting on Zoom. Make sure you record the meeting to the Zoom Cloud (not locally). This enables Zoom's automatic transcription feature.
2. Download the transcript from Zoom
After the meeting, go to zoom.us → Recordings. Find your meeting and look for the 'Audio Transcript' file. Click the download arrow to get the .vtt file.
3. Upload the transcript in the admin
Go to Committee Meetings in your admin panel. Click 'New Meeting', fill in the title, date and attendees, then upload your .vtt or .txt transcript file.
4. Generate AI Minutes
Click 'Generate AI Minutes'. The AI reads the full transcript and produces structured, formal minutes including a summary and a list of action items.
5. Review and approve
Review the AI-generated minutes, make any edits needed, then click 'Approve & Publish' to mark them as official.
6. Share with league members
Toggle the meeting to 'Public' to make it visible on the public Committee Minutes page. Members can view the summary, action items, and full minutes.
Zoom's audio transcript works best in clear audio conditions — avoid noisy venues.
You can also paste transcript text directly into the text box if you prefer.
The AI uses the attendees list you provide to better attribute comments in the minutes.
Action items are automatically extracted — great for follow-up at the next meeting.
You can download the generated minutes as a Markdown file to print or share externally.
Keep minutes as 'Private' until they have been formally approved by the committee.
Sign in to your Zoom account at zoom.us
Click 'Recordings' in the left sidebar
Find your meeting recording and click on it
Look for the 'Audio Transcript' section
Click the download icon (↓) next to the transcript
You'll receive a .vtt file — upload this directly into the Committee Meetings tool
Important: Zoom's audio transcription must be enabled in your Zoom account settings. Go to zoom.us → Settings → Recording → Cloud Recording and enable "Audio transcript".
